Connect Vacei Books to your AI

Connected some time ago and something is missing? Uploads and posting only appear for a connection that was granted them. Settings → Connectors → Vacei Books → Reconnect, and approve them. That is the whole fix.

Sign in with your self-serve owner account. Business owners and accountants can use one self-serve account for multiple companies. On the consent page, sign in with the account that owns those workspaces, then select the companies you want this connection to access. Your profession does not change the account's permissions. Separate firm or platform staff accounts retain their existing restrictions on posting through chat.

The permission screen is ours, not your AI's, so it offers you all four as tick boxes whatever your AI thought to ask for — Claude only asks us to see your books and stay connected. Tick what you want, untick what you do not, and change your mind later by reconnecting.

Your AI calls the engagement guide, which is a step-by-step picture of where you actually stand, computed from your books rather than guessed. It comes back with the stages in the order you would do them, what was found in each, and what to do next.

Anything that really changes your books — a journal, an invoice issued, a reconciliation approved, a period locked, a year-end close — does not happen when your AI decides to do it. It comes back with a summary first.

I have prepared this journal for 31 March: Dr Motor expenses €480.00 / Cr Bank – Current Account €480.00, description “Fuel — March”. Confirm and I will post it. (This expires in 15 minutes.)

Read it. If it is right, say yes and it posts. If it is wrong, say what is wrong and it prepares a new one. A confirmation can only be used once and lapses after fifteen minutes — the same protection as the Approvals screen in the portal. You can always ask what is waiting for your confirmation.

Nothing is posted, paid, filed or approved without you saying yes in the chat.

Give your connected AI an invoice, bill, receipt or bank statement and ask it to upload it to Vacei Books. It saves the file in your Library, reads it and prepares entries for your confirmation. File limits depend on your AI client and company settings; use the portal if your chat cannot send a file.

Or upload in the portal — drop the files in your Library and then say “have a look at what I just uploaded and post it”. Your AI lists the new files, opens them itself, and links each one to the entry it evidences.

Ordinary uploads wait for your connected AI to read and interpret them during your session. The opening-balances import is separate and can use the portal’s AI service to read balances and request supporting breakdowns.

Sometimes a stage carries an offer from us: your audit is coming due, your VAT return is due next week, your books look ready for a second pair of eyes, or you might want us to take on payroll or the bookkeeping outright. Your AI is instructed to mention it once, in one sentence, and never to push.

Say yes and it fetches a sample quotation with the price and what is included. Nothing is ordered, charged or committed by asking for a quotation — the engagement is only requested after you say so again.

Say not now and that service goes quiet for thirty days.

• Statutory filings. A filing is signed by a named person, in the portal. Your AI can prepare and export the pack; it cannot file.
• The Approvals screen — the same confirmations you see in the chat, if you would rather approve in a browser.
• Users, billing and permissions. Account settings are yours, not your AI's.
• Anything you simply prefer to do by hand — the portal is a full manual accounting package and stays one.

Signed in with your Vacei Books login? Remove the connector in your AI client — Settings → Connectors → Vacei Books → Remove. Access stops immediately.

Used a token? Settings → Integrations → Connect your AI → Active tokens → Revoke. Any client using that token is disconnected at once, and nothing else you have connected is affected.
